Office Opening: BioChek, Bracknell

Summary

BioChek approached Chill Out! to help plan and deliver the opening of their new UK office, bringing together colleagues and guests from across the world to celebrate the occasion.

Having previously hosted a smaller office opening, BioChek knew that this event would require additional support. With the new office still an empty shell, the challenge was to transform the space into a welcoming event environment while managing all of the logistics needed to deliver a successful opening.

The Challenges

The unused office space was effectively a blank canvas, with no flooring, power or existing event infrastructure. Everything needed to be brought in, including event flooring, substantial furniture and seating, power, AV and all of the equipment required to turn an empty space into a welcoming environment for 200 guests.

With multiple elements coming together in a space not originally set up for an event, careful supplier coordination was essential. This included catering, welcome drinks, entertainment, music, AV, furniture, branding and merchandise. A temporary kitchen also had to be installed and carefully screened from guests while remaining fully operational throughout the event.

As this was our first event with BioChek, another important part of the process was quickly getting to know the team, understanding their expectations and translating their ideas into a cohesive event.

The Chill Out! Solution

Chill Out! worked with our trusted supplier network to transform the empty office space, managing everything from flooring and furniture to catering, entertainment and AV.

Our team managed the event onsite, welcoming 200 guests, running registration and coordinating tours of the new offices and laboratories. Guests enjoyed welcome drinks and canapés, live entertainment, a pianist, four-course walking dinner and fully stocked bar.

To finish the experience, every guest left with a gift bag containing branded merchandise and a desktop weather station.
